IRAMS data retention

IRAMS holds personal data on Oxford University employees (academics, researchers and administrative staff) and researchers from outside the University. Data are held in the applications and award schemes, and in the applicant, co-applicant and editor records.

From August 2022 personal data will be removed by deleting applications and award schemes depending on their status in Dynamics. For applicant, co-applicant and editor records, data will be retained for current Oxford employees, but deleted for leavers and researchers outside the University once all applications associated with them have been deleted. The deletions will be scheduled biannually.

From May 2025 there will be a regular deletion of old draft emails where the last modified date is greater than one year.
